The Challenge

Create a platform to replace the current manual and fragmented process, allowing them to have greater management of training spaces and support rooms, as well as control the limitation of the number of athletes who simultaneously attend each of the rooms, due to the restrictions imposed by Covid-19.

This control had an even greater need on the part of the FPA due to the pandemic that affected us all, having caused them, in addition to limiting the number of athletes who could be present in each space, to also have a disinfection period after each activity.

This platform would have to allow athletes or their respective coaches to make their own bookings, respecting the priorities of the athletes' levels in which they are inserted. In addition, it should allow privacy for each training session.

Also apply automatic sanctions in case of absence from scheduled training sessions, which can be justified and subject to subsequent evaluation.

Analysis and Requirements Gathering

After gathering all the necessary requirements for the platform, we proceeded to analyze and map the entire process so that we could propose a solution to the FPA that would solve their problems.

In this analysis, we were also able to identify problems not initially identified by the FPA, such as controlling entries into spaces.

Schedules

  • Athletes:
    A schedule of all their bookings was created for athletes, thus allowing better planning of their day.

    • A dedicated and adapted area for bookings on both computers and mobile devices.
    • Indicating which time slots are still available for booking.
    • And with restrictions on the maximum number of events per time slot, day, and week.
    • With booking priority levels by athlete category.
    • Sending notifications of scheduled training sessions to coaches.

  • Coaches:
    A schedule was created for coaches of all their athletes' bookings, thus allowing better planning of their day.

    • Also the possibility to manage training sessions and consultations for their athletes.
    • Automatic sending of notifications of new scheduled training sessions to athletes.
    • And with restrictions on the maximum number of events per time slot, day, and week.
    • With booking priority levels by athlete category.
    • Sending notifications of scheduled training sessions to coaches.

  • Professionals:
    A schedule was created for coaches of all their athletes' bookings, thus allowing better planning of their day.

    • A schedule of all their room bookings was created for professionals. Thus allowing better planning of their day.
    • Allow activation of the need for validation of athletes' bookings in the rooms they manage.
    • Create notes for each booking, thus allowing better monitoring of athletes.
    • Automatic sending of notifications of new scheduled events to athletes.

Security / Entry Control

A calendar was created for security personnel to control athlete entries in restricted access spaces, validating the presence of athletes for attendance control.

Management and Administration

Ability to manage athletes, professionals, and bookings.

Attendance management, and cancellation of automatic penalties assigned to athletes for not attending scheduled training sessions.

Solution & Result

With the system working, it was possible to:

  • Reduce by 20 hours the bureaucratic work.

  • Have more rigorous control of athlete entries.

  • More time to monitor athletes' training.

  • Greater athlete attendance.

  • Better analysis of training evolution, allowing adaptation to the current needs of athletes.

The idea of creating an access management platform for the Jamor High-Performance Center was urgent, as the time spent preparing access maps for the most different areas was excessive.

Thus, FPA found in WayAcross the answer it needed for the constant development of a platform that met our expectations, and we are preparing a third update, such is the daily useful time gain achieved.

It is worth noting the excellent professionalism, speed, and assertiveness in solving problems and/or small corrections when we request them, something fundamental for the continuity of the developed process.
